Job Overview
The AI Portfolio Analyst is the operational core of BS&A's AI Center of Excellence. Reporting to the VP of AI Transformation, this role operates and maintains the enterprise AI portfolio: the trusted view of what is proposed, what is in flight, what it costs, what value it is returning, and what should come next.
AI is already part of how we work at BS&A; the CoE exists to get organized about it and turn that momentum into a durable, company-wide capability. The AI Portfolio Analyst is the person who makes that capability measurable, keeping intake honest, baselines real, and value reporting defensible.
AI Champions are this role's primary day-to-day partners. The Analyst helps Champions turn functional ideas into clear business cases, establish baselines, groom backlogs, track adoption, and surface wins, risks, or blockers back into the CoE.
This is not a data science role and not a traditional project management role. It is a portfolio, measurement, and enablement role with analytical depth, working closely with AI Champions, the CoE's architecture and engineering partners, IT/Security, Finance, and the department leaders who own the results AI is meant to deliver.
Key Responsibilities
Enterprise AI Portfolio & Intake
Maintain the enterprise AI portfolio as the single source of truth for AI initiatives across the company, spanning proposals, active builds, pilots, and production solutions.
Run the intake process for new AI use cases, including deduplication against existing initiatives and tools, so the company solves each problem once.
Assist in triaging AI activity into the right path: everyday enablement, department-level improvement, or governed production AI solution.
Facilitate scoring and prioritization of initiatives with business leaders using the CoE's evaluation model, ensuring decisions are objective, documented, and comparable across departments.
Maintain cost assumptions, budget inputs, and usage data for AI initiatives in partnership with the VP of AI Transformation, Finance, IT/Security, and Solution Owners, and maintain the decision log that records what was approved, deferred, or declined and why.
Support build-versus-buy evaluations with market scans, cost comparisons, and structured analysis.
Measurement & Value Reporting
Establish pre-deployment baselines for governed and prioritized AI initiatives so business impact can be measured against a known starting point, not reconstructed after the fact.
Define and track value metrics for production solutions, including hours saved, cycle time, quality, adoption, and cost, in partnership with Solution Owners and Champions.
Maintain the program-level view of value returned versus investment made, and keep the numbers conservative, documented, and defensible.
Partner with Solution Owners and AI Champions to confirm whether expected value is being realized after launch.
Flag solutions that are underused or underperforming so they can be improved, repositioned, or retired.
Leadership & Executive Reporting
Curate the materials for the Quarterly AI Business Review, assembling portfolio status, value results, risks, and recommendations for the VP of AI Transformation to present to executive leadership.
Produce recurring portfolio reporting for leadership that shows investments, adoption, value, and risk in one consistent view.
Prepare analysis and supporting material for board-level reporting on the AI program.
Champion Partnership & Adoption
Serve as the day-to-day CoE partner for AI Champions across business functions.
Run regular Champion working sessions to review new ideas, groom functional backlogs, identify duplicates, score opportunities, and surface blockers.
Help Champions translate business opportunities into measurable use cases with clear owners, baselines, value metrics, and adoption expectations.
Support the enterprise AI adoption program by coordinating with Champions to move solutions from launched to genuinely used.
Track adoption and usage data across solutions, and turn it into practical recommendations for training, communication, workflow changes, or executive follow-up.
Help build and maintain the CoE's shared playbooks, templates, and reporting frameworks so good practices spread instead of being reinvented.
Production Solution Stewardship
Compile the business evidence for production-readiness reviews of AI solutions, including baseline data, value hypothesis, named ownership, and adoption plan, complementing the data and infrastructure readiness assessment owned by IT/Security.
Coordinate periodic production solution reviews with Solution Owners, Engineering, Architecture, and IT/Security, compiling usage, adoption, value, quality, and risk indicators into a clear portfolio view
Prepare optimize-or-retire recommendations in partnership with Solution Owners, Champions, and the VP of AI Transformation.
Other duties as assigned.
Qualifications
Bachelor's degree in Business, Analytics, Finance, Information Systems, or a related field, or equivalent professional experience.
3+ years in an analytical role such as business analysis, portfolio or program analysis, operations analysis, FP&A, strategy, or process improvement, where your work directly informed decisions.
Demonstrated comfort operating in new, undefined spaces: building a process where none existed, creating structure from ambiguity, and adjusting quickly as the ground shifts.
Strong quantitative skills, including building models, baselines, and metrics in Excel or a BI tool, and explaining them in plain language.
Experience managing a portfolio, pipeline, or book of work across multiple stakeholders with competing priorities.
Strong facilitation and communication skills, with the ability to partner with employees, managers, executives, technical teams, and business owners.
Excellent written communication, with the ability to turn messy inputs into a clear one-page story for an executive audience.
Demonstrated experience applying AI in real work - using modern AI tools daily, redesigning at least one workflow or process around them, and forming informed opinions about where AI fits and where it does not. We value someone who learns quickly, thinks critically, and thrives in new territory.
Ability to challenge ideas constructively by asking whether something is worth doing, measuring, or building while still helping teams maintain momentum.
Ability to handle anxiety and stress in a fast paced environment.
Preferred Qualifications
Experience supporting executive or board-level reporting.
Familiarity with portfolio or work management tools such as Jira, Confluence, monday.com, Certinia, Asana, Smartsheet, Aha!, or similar, and experience building reporting on top of them.
Exposure to change management or adoption programs for new tools or processes.
Experience in SaaS, software, govtech, fintech, public sector, or another environment with sensitive customer data.
Experience in or adjacent to a Center of Excellence, transformation office, PMO, operations, professional services, support, or process improvement function.
Experience measuring value realization for automation, AI, workflow improvement, or operational efficiency initiatives.
